Summary of position:
In addition to your watersports Instructor role you will provide administrative assistance to the management team. You will need to be organized, time efficient and confident working independently. You will work through a weekly checklist but also be expected to complete ad-hoc tasks as when they arise.
Duties and Responsibilities: (this list is not exhaustive)
- Type up room allocation lists for hotel use
- Organise transfers with the agent
- Type up all feedback comments
- Collect and deliver post
- Take bookings for excursions and car hire etc
- Take bookings for evening meals at the hotel
- Carry out pre-departure phone calls
- Update the Ocean Elements Facebook page
- Ensure staff records are complete ie , qualifications, passport info, medical info
- Liase with head office re: last minute bookings or booking queries
- Print all childrens club paperwork prior to club starting – registration forms, sign in sheets
- Print weekly H&S audits for hotel, beach, childrens clubs
- Distibute childrens free giveaway tshirts
- Stock control clothing for sale
- Stock control uniform
- Distribute blank feedback forms
- Record all passport numbers in hotel door book
- Record all guest medical forms and highlight issues to other staff
- Count petite cash and report to manager
- Complete Sales records
- Email guests after they have left to promote ongoing contact and custom
Experience / Qualifications required:
Watersports Instructor RYA or BCU. Confident with word and excel. GCSE Maths and English.
